Most service businesses do not have a tool problem. They have an integration problem. They own a form tool, an email tool, a calendar tool, a payment tool, and a review tool, none of which talk to each other. The result is a fragile stack that leaks leads at every seam.

This is a working document. Map your business against the five capabilities and find your gaps. Time to map: 30 to 45 minutes. Outcome: a blueprint of the five capabilities every service business needs and a plan to connect them into one working system.

Part 1

Capability 1 - Capture

Nothing grows without leads, and leads start with capture. This is the layer that turns anonymous website and channel traffic into named contacts you can actually follow up with.

Part 2

Capability 2 - Follow-Up

Most leads do not buy on day one. Follow-up is what turns a captured lead into a client, and automation is what keeps it running when you get busy. This is where the majority of conversions actually happen.

Capability 3 - Scheduling

Every back-and-forth to find a time is a chance for a warm lead to cool off. Online scheduling removes that friction by letting people book directly into your calendar, and reminders keep them showing up.

Capability 4 - Payments

Friction at the moment of payment loses sales you already earned. A smooth way to collect deposits, invoices, or checkout, connected to the rest of your system, closes the loop from lead to paid client.

Capability 5 - Reputation

  • Is getting paid frictionless and connected to your records?
  • Are review requests automated and steady?

Your score:

  • 0 to 1 - You are missing core capabilities. Start with capture and follow-up.
  • 2 to 3 - You have the pieces but they are disconnected. Connecting them is the next win.
  • 4 to 5 - A connected system. Now optimize and scale.

Your First 7 Days

Day 1: Map your business against the five capabilities. Mark which you have and which are disconnected.

Days 2 to 3: Fix your biggest gap first, usually capture or follow-up.

Days 4 to 5: Connect scheduling and payments to your capture and CRM.

Days 6 to 7: Turn on automated review requests tied to job completion.

Ongoing: Replace webhook seams with connection over time. Re-score quarterly.
